Job Description

JOB SUMMARY:

The Enrollment Specialist is responsible for managing admissions and associated duties in a professional manner at all times. This position is not only the "face" of the school, but also serves a key role in ensuring the that prospective families are interested and informed on the school. This position requires excellent communication skills, strong customer service orientation, a firm but gentle approach to enforcing policies, good attention to detail, and high level of fluency with technology and customer service.

 

ESSENTIAL FUNCTIONS:

 

Overall:

● Serve as an ambassador and representative of The Suzuki School at all times

● Maintain a welcoming and informative environment for prospective new families

● Provide timely information to prospective families through tours and individual appointments.

● Maintain CRM of families who have applied with current information on their status

● Enroll new families based on acceptance criteria and distribute and collect enrollment packages

● Stay abreast of all educational components, techniques and materials being utilized and or introduced in the classrooms

● Provide reporting on admissions and enrollment metrics

● Work closely with teachers to insure a smooth transition for new families

● Process improvement: analyze position and responsibilities for ways to improve effectiveness/efficiency

Student Recruitment:

● Answer questions, maintain wait list with campus director

● Schedule and conduct interviews with families

● Conduct tours and handout information

● Send out thank you letters and book to prospective families

● For children transferring from other schools understand the parents decisions and ascertain whether they will be a good fit.

● Notify Executive Committee of dissatisfied parents or parents who do not conform to our policies

● Receive and process applications with deposits

● Create student files for new students

● Maintain list of students with application in Childcare CRM

● Send confirmation emails to families

 

Accept new families:

● Maintain status of interest of parents in Childcare CRM

● Schedule interviews

● Email acceptance letters to families

● Email wait list letters to families after contacting them

● Work closely with Director on preparation and mailing of class placement letters.

 

Student start dates:

● Contact incoming families to verify day Send out authorization package for new families

● Verify all information is received back from families in the authorization package and enter it into

● EZCare

● Serve as a check and balance that all Student Folders have been entered by Parent Liaisons or their designees

● Send information to classrooms about new families. Ensure that classrooms have followed up.

 

New parent orientations:

● Schedule New Parent Orientations Track families who have attended NPO

 

Maintain Childcare CRM:

● Maintain information concerning families in Childcare CRM

 

Projected Class Placement/Capacity:

● Work closely with School Directors to develop forecast for classroom capacities and configurations for upcoming school year that is used to project the number of open spaces and changes required to classroom configuration.

 

Marketing:

● Promote the Suzuki School and marketing efforts by organizing and coordinating events with nearby neighborhoods, businesses and Open Houses at the school.

● Develop new marketing avenues and relationships with marketing director to better communicate the Suzuki value.

 

● Private and Public School Fairs: Plan and Organize the Private School/Public School fair that takes place in October and the Private

● School/Public School Panel Billing meeting: Meet with accounting monthly to ensure that student billing is correct and reflects new starts, stops, and transfers.

● Change in campus: Maintain list of families who wish to transfer campuses Process transfer requests Move files between campuses

● Coordination: Closely coordinate with Admissions Coordinator at other campuses concerning transfer requests and other issues.

 

Other Duties:

● Withdrawn Students: Communicate with families concerning withdrawal policies Follow up with parents who are withdrawal reasons. Notify staff of families leaving, date and reason

● Track withdrawals by campus and offer new spaces to waitlisted families accordingly Notify Controller of processed Withdrawals

● Statistical Reporting: Prospective families Trends in Summer and Fall enrollment (#'s by classroom and program) Withdrawal trends (other than graduating students) Graduated students Other analysis as requested.

● Support Front Desk: Provide support to Front Desk- answering the phone, assisting parents, addressing minor accidents and behavioral issues, assisting teachers with coverage issues etc.

● Provide assistance to classrooms as required: Go in classroom to provide coverage as needed on an emergency basis

9. Effective follow through: Good follow through with prospective parents, and current parents concerning policies or status.

10. Thorough Documentation: Is diligent about documenting conversations in childcare CRM.

11. Memory: Can remember prospective families names - or has detailed notes in CRM to help with this.

12. Accomplishing tasks promptly and by deadlines: Demonstrates the ability to get results despite a large workload, competing demands and a fast-paced environment within the specified deadlines.

13. Ability to take on more work: Has an orientation on taking on more work instead of less; thrives on learning new skills.

14. Procedural Knowledge: Appreciates standard operating procedures (SOP); demonstrates knowledge of SOP by applying any steps, rules and/or guidelines needed to perform his/her job effectively along with an understanding of regulatory requirements.

15. Stress Tolerance: Maintains a positive attitude with good self-control; maintains a high volume, high quality workload under demanding conditions(e.g. upset parents, teachers), and can assume the security responsibilities associated with the position.

16. Professional Image: Presents self in a professional image at all times in actions and attire.

17. Confidentiality: Maintains confidences.

18.  Montessori Certification is preferred.

 

Environmental and Physical Job Requirements:

Can move around easily, this person must be able to get in and out of chair easily to assist others, and to visit classrooms or other areas of school for position related reasons Can tolerate others in their space, and enforce appropriate boundaries can lift up to 50 pounds which is needed to care for child who may be injured or ill or during a drill or evacuation, and to move around office supplies.

 

Minimum qualifications:

BA or higher Solid foundation in Montessori and Familiar with the Suzuki School.
