Job Description

Responsible for administering and maintaining subsidy contracts within the billing system, ensuring payments are accurately verified, recorded, and applied. Supports both direct-billed and subsidy accounts receivable by ensuring contract setup is timely and remittances are properly coded and allocated. Researches and resolves payment discrepancies, responds to inquiries from internal staff, school personnel, customers, and state agency representatives, and maintains a strong customer service focus. Assists with monthly, quarterly, and year-end accounting activities and supports ad hoc projects as needed.

  • Knowledge, Skills, and Abilities:

    ·       Requires the ability to work well independently, demonstrated by resourcefulness and problem-solving skills.

    ·       Must demonstrate professional and effective written and verbal communication skills.

    ·       Must have knowledge of basic accounting skills.

    ·       Requires advanced proficiency in Excel.

    ·       Ability to prioritize workload and short and long-term operating plans to create highly satisfied customer outcomes.

    ·       Ability to work in a fast-paced environment handling a high-volume workload dealing with priorities & deadlines.

    ·       Must be a highly effective communicator with interpersonal skills that allow successful business interactions with individuals of a variety of work styles, personalities, and career levels.

    ·       Must have the ability to be "hands-on" and assist in training work as needed.

    ·       Requires ability to read, write and communicate effectively in English.

    Education or equivalency:

    ·                Requires an associate degree in Early Childcare Education, or related field; or an equivalent combination of training and progressively responsible experience that will result in the required specialized knowledge and abilities to perform the assigned work.

    Experience:

    ·                Must have a minimum of three (3) years of subsidy program related experience that demonstrates an understanding of the required knowledge, skills, and abilities.

    ·                Prefer previous school management experience and knowledge of developmentally appropriate practices within childcare settings.

Job Responsibilities:

  • 1.

     Verifies and applies subsidy payments made to the company. Sets up and maintains subsidy contracts in the billing system.

    2.

     Aids with both direct billed and subsidy accounts receivable. Ensures contract setup is timely and accurate and that remittances are accurately coded and allocated.

    3.

     Researches, enters, and applies subsidy agency payments into billing system. Has oversight of subsidy agency contracts and responsible for any revisions.

    4.

     Works cooperatively with staff members, other departments and state agency representatives maintaining a customer service focus. Responds to inquiries from school personnel and researches and resolves concerns or discrepancies.

    5.

    6.

     Assists in year-end or monthly/quarterly accounting procedures. Will assist with ad hoc projects as required.
